HS file series at The National Archives

FOI request reference: CAS-130572-L6M4H0
Publication date: July 2023

Request

Under the Freedom of Information Act, I would like to request the following information:
I am writing in reference to a previous FOI request of June 2018 reference F0052722. I am interested in updated data along the same lines as this previous request. I, therefore, request the information held on how many times each file within the HS file series has been ordered since being made available at the National Archives. Relevant data would be from when your organisation first began collecting this data, as mentioned in the response to the previous FOI, up until the most recent date currently available.

Outcome

Information provided.

Response

We only hold data on this subject going back to 1999 when our computerised data-collection system was established.

I can confirm that the total number of HS records ordered from 1999 up until 28 June 2023 has been 134,761. I have attached a table of all the individual HS files that have been ordered and how many times they have each been ordered. We would like to make you aware that 147 of the HS 8 and HS 9s have been digitised. The number of times these digitised files have been ordered can be found here.

We would also like to clarify that the parent pieces of some files are not orderable on TNA’s document ordering system, DORIS (Document Ordering Reader Interrogation System), as they must be ordered in their separate parts. However, our data shows the number of times some parent pieces have been ordered as the whole piece can be ordered in its entirety by our staff.
