Under the Freedom of Information Act 2000, I am requesting information about the use of Learning Management Systems (LMS) or Virtual Learning Environments (VLE) by your organisation and, where information is readily available, any associated departments, service units, or partner organisations delivering education, training, or learner support under your authority.

If this request applies to multiple organisations under your remit, please prioritise the core organisation and indicate which others also operate an LMS/VLE platform.

Please provide the following information

  1. Current LMS/VLE Usage
    1. What Learning Management Systems or e-learning platforms are currently in use?
    2. If Moodle or Totara is used, which version is currently implemented?
    3. What are the primary use cases for your LMS/VLE (e.g. internal or external teaching to parents/teachers, staff training, compliance, CPD)?
    4. Approximately how many unique users (staff and learners combined) logged into the LMS/VLE at least once during the most recent academic year?
  2. Hosting and Support
    1. Is your LMS/VLE hosted on-premise, in a private cloud, or provided as SaaS?
    2. Is the platform supported by internal teams or by an external provider? If external, please name the support or hosting partner.
  3. Procurement and Oversight
    1. What are the current contractual arrangements for your LMS/VLE (e.g. start/end dates, and any optional extensions)?
    2. Through which procurement method or framework was the LMS/VLE acquired (e.g. G-Cloud, direct award)?
    3. Which department, team, or individual is responsible for managing the LMS/VLE and digital learning strategy?
  4. Future Plans
    1. Are any reviews, tenders, or procurement activities related to LMS/VLE systems planned within the next 24 months?
  5. Integration and Strategic Links
    1. Is the LMS/VLE integrated with any other systems (e.g. student records, HR, CRM)? If so, please list them.
    2. If held, please confirm whether the LMS/VLE is referenced in any institutional strategy or documentation (e.g. digital transformation, skills development, compliance reporting).

1. Current LMS/VLE Usage

a. What Learning Management Systems or e-learning platforms are currently in use?

Moodle, Workday and LinkedIn Learning.

b. If Moodle or Totara is used, which version is currently implemented?

Moodle Version 4

c. What are the primary use cases for your LMS/VLE (e.g. internal or external teaching to parents/teachers, staff training, compliance, CPD)?

Moodle is used for corporate training and training for the Archive Sector and also collection Care for External audiences’, Contractors and volunteers.

The primary use for Workday is to host compliance training for internal staff only.

The primary use for LinkedIn Learning is to host training and knowledge sharing content for internal staff only.

d. Approximately how many unique users (staff and learners combined) logged into the LMS/VLE at least once during the most recent academic year?

On Moodle: the number of Unique users accessing Moodle for the Academic year is: 717

On Workday for the last academic year we had 1367 learners complete the compliance training on Workday.

For LinkedIn learning which launched on 4 August, 332 staff members have signed up.

2. Hosting and Support

a. Is your LMS/VLE hosted on-premise, in a private cloud, or provided as SaaS?

Our Moodle service is on a private cloud but runs similar to SaaS except we control each instance uniquely.

Workday is on Private Cloud but will move to Public Cloud at some point in 2027.

LinkedIn Learning is on the G-Cloud.

b. Is the platform supported by internal teams or by an external provider? If external, please name the support or hosting partner.

Moodle supported by hosting Supplier.

Workday is supported by an internal team and external provider who are Workday.

LinkedIn Learning is supported by the Learning and Development Team, IT Infrastructure Team and LinkedIn Learning.

3) Procurement and Oversight

a. What are the current contractual arrangements for your LMS/VLE (e.g. start/end dates, and any optional extensions)?

Moodle is a yearly Contract.

Workday has a current contract which started 8 August 2025 and has a one-year extension.

LinkedIn Learning contract started in January 2025 and is for three years.

b. Through which procurement method or framework was the LMS/VLE acquired (e.g. G-Cloud, direct award)?

The contract with our supplier for Moodle which is the ELearning Managed Platform was procured via Open competition in 2022.

Workday was procured through G-Cloud 14.

LinkedIn Learning was procured via G-Cloud 14.

c. Which department, team, or individual is responsible for managing the LMS/VLE and digital learning strategy?

Learning and Development is responsible for Moodle with support from our hosting partner.

Workday is supported by our Learning and Development team, HR Team and our Workday HR Systems Lead.

LinkedIn Learning is managed by our Learning and Development team.

4) Future Plans

a. Are any reviews, tenders, or procurement activities related to LMS/VLE systems planned within the next 24 months?

No

5) Integration and Strategic Links

a. Is the LMS/VLE integrated with any other systems (e.g. student records, HR, CRM)? If so, please list them.

Workday is an integrated HR and Finance system.

Moodle and LinkedIn Learning are separate platforms.

b. If held, please confirm whether the LMS/VLE is referenced in any institutional strategy or documentation (e.g. digital transformation, skills development, compliance reporting).

Information not held for Moodle.

Workday is an integrated HR and Finance system used to capture and measure data and is used widely by both HR and Finance. Workday is also used for compliance reporting for compliance training as mentioned.

LinkedIn Learning will help to support learning and development at The National Archives
