Request:

1. A list of every transaction made using payment cards where the transaction date occurred during the financial years:
a. 2009-10
b. 2010-11
Please include, for each transaction, the transaction date, vendor name, transaction amount and any category recorded by either the payment card issuer or your organisation.

2. Any policies and procedures relating to the proper use and misuse of payment cards and monitoring of their use

3. All details relating to all instances of misuse of payment cards during the financial years 2009-10 and 2010-11. For each instance, please include:
a. transaction date
b. vendor name
c. transaction amount
d. item purchased
e. reason the transaction was not a proper use of the payment card
f. disciplinary action taken
g. if your organisation required the amount to be repaid
h. if the amount was repaid

1. Please find a link below to an Excel spreadsheet detailing each transaction made using Government Procurement Cards (GPCs) during the financial years 2009/10 and 2010/11.

2. Please find a link below to The National Archives' GPC Policy. A very small amount of information (three phone extension numbers) have been redacted under the exemption for personal information, Section 40(2). This is because the document contains information considered to be the personal data of some The National Archives officials. As these non-public facing members of staff have not given express permission for their personal information to be released it would be unfair to do so as there is no expectation that this information would be released into the public domain.
Release would therefore contravene the first data protection principle of the Data Protection Act 1998 - that personal data must be processed fairly and lawfully. 

3. The National Archives has not identified any instances of misuse during financial years 2009/10 and 2010/11.
