February 2012

Request:

I would like to request the following breakdown of the Committee's hardware maintenance and costs:

A list of the models of the physical servers, storage devices, tape libraries, network switches and routers under support contracts; as well as the cost and duration of said contracts, with start and end dates and service level associated with the equipment.

Could you also supply the names of the suppliers of aforementioned support services?

I would also request the name of the person/s in your organisation responsible for the maintenance support contracts.

Outcome:

Successful / No information held

Response:

You should be aware that while the Advisory Council on Historical Manuscripts, the Advisory Council on National Records and the Queens Printer for Scotland are separate bodies, they form part of The National Archives. This means that their IT support and budget comes from The National Archives.  As such there are no independent contracts or costs associated to this work as any work undertaken for these functions as they form part of the wider work of The National Archives. As such all contracts and IT are supplied and supported by the larger National Archives agreements and contracts.

I will respond to your questions in two parts.
1.
• A list of the models
• The names of the suppliers of aforementioned support services

This information is not held in a readily accessible format and would need to be collated from various sources. We estimate that the cost of locating and retrieving this information would significantly exceed the £600 fees limit. The National Archives is not obliged, by virtue of s.12 (1) of the Freedom of Information Act, to comply with a request where the appropriate limit of £600 would be exceeded, and given the significant time it would take us we are unable to provide the information. Guidance on this can be found at www.justice.gov.uk/guidance/freedom-and-rights/freedom-of-information/fees.htm

2.
• The name of the person/s in your organisation responsible for the maintenance support contracts.

Information relating to responsibilities within our Technology directorate is already available on our website, therefore under section 21 of the Freedom of Information Act where information is already accessible to you we are not obliged to provide it. Guidance on this can be found at
www.justice.gov.uk/downloads/guidance/freedom-and-rights/foi-exemption-s21.pdf

You can access the information at: http://www.nationalarchives.gov.uk/about/our-staff.htm , in this area you will also find a link to information about the tendering and contract processes that are followed by The National Archives.
