Archive Service Accreditation and COVID-19

The Archive Service Accreditation programme partners and the committee wish to keep award holders and applicants informed as to how the programme is continuing to respond to public health measures against the outbreak of COVID-19. We do not want accreditation to be an additional concern at a time when archive service management and planning are still under considerable strain.

Exceptional service reductions and closures

We recognise that accredited archive services have been required to close for periods under public health guidance, or because of individual institutional risk management. We want to reassure all award holders that we recognise that the current circumstances remain exceptional, and that a reduced service offer due to the pandemic will not affect accreditation status. However, services should plan to review reduced service periodically to understand its impact on stakeholders.

Arrangements for new applications and assessments

Although the programme remains open, issues of safe travel, site closure and the business change implications of the COVID-19 situation may affect the ability to assess any new applications for Archive Service Accreditation.

The impact of the pandemic also means that some assessor bodies may have reduced capacity for assessing applications for the foreseeable future, in Scotland and Wales specifically.

Any archive services intending to apply for Archive Service Accreditation are advised to contact their home nation assessor body before making an application.

Arrangements for provisional awards, mid-point reviews and reapplication from award holders

The programme remains open for scheduled reviews and retention of awards, including full re-applications from existing award holders. The impact of the pandemic on the service will be explored as part of the assessment. If changes require a site visit, as with new applications, decisions may need to be postponed.

We recognise that some archive services will have operated with reduced staffing during the outbreak and will not have capacity to meet their scheduled submission date. Please let your assessor body know if this is the case. Your accreditation status will not be affected if you need to postpone a review in these circumstances.

Possible future schedule changes

Some of the provisions above may mean applications come in at an irregular pace. Assessor body staffing capacity may also be affected at times, so that assessment and award schedules may need to change. We will keep you fully informed if so, and your accreditation status will not be affected. If a backlog of cases develops during or at the end of the restrictions, we may take some time to clear it. We hope you will bear with us in getting back to normal service.

Rydym yn cydnabod bod gwasanaethau archifau achrededig eisoes wedi gorfod cau am gyfnod o dan arweiniad iechyd cyhoeddus, neu o ganlyniad i reoli risg mewn sefydliadau unigol. Rydym am sicrhau pawb sydd ag achrediad ein bod yn cydnabod bod yr amgylchiadau presennol yn parhau i fod yn eithriadol, ac na fydd llai o wasanaeth oherwydd y pandemig yn effeithio ar statws achredu. Serch hynny, gan y gallai hyn fod am gyfnod hir, dylai gwasanaethau gynllunio i adolygu’r gwasanaeth llai yn rheolaidd i ddeall ei effaith ar randdeiliaid.

Mae effaith y pandemig hefyd yn golygu bod gan rhai cyrff asesydd llai o gapasiti ar gyfer asesu ceisiadau yn y dyfodol rhagweladwy, yn benodol yng Nghymru a’r Alban.

Cynghorir unrhyw wasanaethau archif sy’n bwriadu gwneud cais am Achrediad Gwasanaethau Archifau i gysylltu â’u corff asesu gwlad gartref cyn gwneud cais.

Ystyrir effaith y pandemig ar y gwasanaeth fel rhan o’r asesiad. Os yw’r newidiadau yn gofyn am ymweld â’r safle, megis yn achos ceisiadau newydd, efallai y bydd angen gohirio penderfyniadau.

Rydym yn cydnabod y bydd llai o staff mewn rhai gwasanaethau archifau yn ystod y pandemig ac na fydd capasiti o bosibl i gyflawni erbyn y dyddiad cyflwyno a drefnwyd. Rhowch wybod i’ch corff asesu os yw hyn yn berthnasol i chi. Ni fydd eich statws Achredu yn cael ei effeithio os bydd angen i chi ohirio adolygiad o dan yr amgylchiadau hyn.
